Managing a YouTube Channel with an Agency or Team: Choosing the Right Permissions

As a channel grows, editing, uploads, metadata and performance review are shared across a team. People and contractors may change while old accounts retain access. Organise permissions by defining each person’s tasks, selecting an appropriate role and reviewing it when responsibilities change. Channel Permissions lets you delegate work without sharing access to the owner’s Google Account.

Key takeaway

Define tasks before assigning roles and document editorial approvals separately. Editor (Limited) can still publish: hiding revenue data does not create a publishing approval gate.

A practical guide based on undated YouTube documentation reviewed on 29 October 2026. Responsibility records, approval workflows and handover procedures are CROMBA operational recommendations.

Write down the tasks before sending an invitation

Define what each person must do: upload videos, make publishing decisions, review revenue or manage the team. Two people with the same job title may need different roles. Someone reviewing reports may not need editing access, while a publishing coordinator needs to complete daily tasks in Studio.

Include these responsibilities in the agreed scope of work with your employee or agency. Channel Permissions enables delegation without sharing the owner’s Google Account credentials. [1]

Understand Editor versus Editor (Limited)

YouTube states that an Editor can upload and publish content but cannot manage permissions, delete the channel or delete published content. Editor (Limited) has the same permissions and restrictions as Editor, with revenue data access removed. “Limited” therefore does not mean publishing is blocked. [1]

If the agreement requires owner approval before publication, document that workflow with the team. Selecting this role alone does not create an approval gate.

Use viewing access for analytical work

A Viewer role may be sufficient for someone reviewing performance without editing the channel. Consider Viewer (Limited) when the task does not require revenue access. Manager has broader powers, including managing access and deleting content, so assigning it needs a clear operational reason. [1]

The aim is to let each person fulfil their responsibility while the owner understands what the role permits. To scope an analyst’s work, start with questions such as how audience retention can guide content improvements, then provide the access needed for that task.

Test delegation against the required task

After the invitation is accepted, ask the person to try an agreed task, such as uploading a draft or reviewing a report, and confirm they are working in the correct channel.

Do not assume delegation covers every tool or integration. YouTube lists parts of its service, including YouTube APIs, as unsupported by channel permissions; an automated integration may need separate configuration. [1] This matters when a workflow combines manual publishing with scheduling or automation tools.

Make access removal part of the handover

When a contract ends, review people, pending invitations and work-related integrations. Collect source files, scheduled content and the open-task list before closing the engagement.

We suggest keeping a record of each person, their role, the reason for access and who reviews it. Update the record when employees move or agencies change, and review it periodically.

A production handover may also include reviewing AI-generated music disclosures, with clear responsibility for checking information and approving the final version.

Permissions are part of channel operations and production. Discuss with CROMBA how to distribute production, publishing and analysis responsibilities and prepare a handover that supports continuity.
